Project Coordinator

Job Description

The Project Coordinator supporting our International Service Office team is primarily responsible for assisting in the daily coordination of projects handled by the International Services Office in close collaboration with its leader and managers. This includes preparing and maintaining project plans, reports and documentation, setting up meetings, and communicating to internal and external clients.


Essential Duties:

  • Assist team leaders in preparing and maintaining project plans and their execution, including documentation, implementation schedules and reports and communicating with project stakeholders across departments and offices. 

  • Develop and maintain detailed project schedules, which include administrative tasks and duties for all key stakeholders in the project.

  • Track project progress, identify, escalate project obstacles to team leader, and communicate with other key stakeholders.

  • Schedule meetings, including travel arrangements, preparing meeting materials, presentations developing agendas, preparing minutes in support of assigned projects, distributing meeting materials, and tracking meeting attendance. Includes coordinating across complex calendars and international time zones. May attend meetings as required by project and/or assignment.

  • Collaborate with team management on operational function of standard processes used by the team.  Monitoring adherence to these processes, gathering feedback, coordinating necessary adjustments to existing processes, and helping develop new ones. Support the implementation of new documentation retention and filing system.

Qualifications:

 

EDUCATION

  • Associate’s or Bachelor’s degree

TECHNICAL SKILLS

  • Highly organized

  • Intermediate PowerPoint & Excel skills required

  • Ability to prepare presentations including charts, graphics and tables, speaker notes & handouts, etc.

  • Ability to communicate effectively both verbally and written with diverse audiences at Executive levels

  • Experience with a Project management software such as SmartSheet

  • Excellent written communication skills with attention to grammar

  • Comfortable with communication technology including WebEx, GoToMeeting, or similar video conferencing platforms.

  • Demonstrate ability to organize and track internal projects and activities

  • Ability to interpret information from white boarding or ad hoc meetings and organize to calendaring, travel, meeting planning coordination
