Job Description

We are seeking a proactive individual who enjoys working in a fast-paced science environment. This position will provide accurate and effective administrative support to the Department of Drug Metabolism & Pharmacokinetics.

In this role, you will contribute to organizational and administrative goals by performing a wide range of administrative duties and identify and anticipate the needs of the group and plan work activities accordingly. The role interacts with multiple internal and external contacts at various levels; you will also closely interface with the department Management Associate and other administrative staff in the gRED Research organization.

Responsibilities:

  • Calendar Management: Proactively manage and prioritize the calendars of multiple Directors. Schedule various internal and external meetings including teleconferences.
  • Meeting and Event Planning: Coordinate and schedule onsite and offsite meetings. Attend meetings to provide onsite or virtual support, including catering set up. Prepare meeting materials and presentations as needed.
  • Expense Reports and Purchasing Card Processing: Support Directors in compiling, completing and processing expense reports. Manage company purchasing credit card for the group, including reconciling purchases in a timely manner.
  • Team Support: Provide back-up coverage to department Management Associate and other Research admins (as appropriate) for administrative duties and other miscellaneous functions whenever required. Demonstrating flexibility, adaptability and positive demeanour.
  • Visitor and Consultant Arrangements: Coordinate and arrange visits for guest speakers/consultants from the US and abroad including creating meeting schedules, making travel arrangements, and processing expenses. Complete special documentation requirements for visitors who are health care providers.
  • Office Management: Ensure team has current office equipment and materials appropriate for the team's work. Maintain department roster, organization chart, e-mail distribution lists. Coordinate office moves and/or office conversions, and streamline department administrative and operational processes.

Qualifications:

  • A minimum of a BS/BA degree, an AA degree and 4 years of administrative experience, or a High School Diploma and 7 years of administrative experience or transferable administrative skills, preferably in large organizations.
  • Proficiency with the Microsoft Office Suite (Word, Excel and PowerPoint), and web-based systems such as Google Mail, Google Calendar, gDoc, gSheet, gDrive, Google Meet, Zoom and WebEx.
  • Strong communication and interpersonal skills. Ability to draft professional correspondence and create/adapt presentation materials with general instructions and to interact professionally with all levels of staff and external contacts in a fast-paced environment.
  • Good judgment and discretion when handling confidential/sensitive information.
  • Self-motivated with the ability to manage multiple projects/tasks simultaneously and with minimal supervision. Flexibility to take direction from the team and co-workers. Agile and able to adapt to changing and conflicting priorities.
  • Outstanding organization, problem solving, and decision-making abilities.
  • Team and customer service orientation. Exceptional collaboration and relationship building skills.
  • Experience in the pharma/biotech industry in a research setting is a plus.
